SBT Accounts Payable

What do I need to remember before printing 1099s?

For SBT7 and Pro32 users, you do not have to close your AP before you run the 1099’s but you must run the 1099’s before you do any 1099 business for the new year.

The 1099’s only get zeroed out when you answer the question during printing: “Zero out 1099s” Yes.
DO NOT SAY YES UNTIL YOU GET YOUR FINAL PRINTED COPY OF 1099 ON FORM!

*Suggestions:

Backup! Backup! Backup!!Print the first 1099s to plain paper and double check your amounts and the federal id numbers.After making corrections print to your 1099 forms (after making sure they line up correctly) and still do not zero out the amounts (in case of a paper jam)

After all the 1099s are printed correctly and you have them in hand, you can print either to screen, to disk or to plain paper and answer the question “yes” to zero out the 1099 amounts. Do this BEFORE printing any checks for the new year

Can I edit my 1099 year to date totals?

Yes.

In Dispatch you must belong to the ADMIN group and have Allow 1099 Edit rights assigned to that group! Go to Operations, Carriers and find the carrier that you want to change. Press the #1 on your keyboard and a box will pop up with the YTD 1099 amount calculated so far. Underneath, in the new amount box you can type in correct amount.
Call TMS Support (618) 549-5550 and have them setup your Vendor Master in Blackbox to send the 1099 amount over to update SBT. YOU MUST call Support AGAIN and have them set it back after you have Blackboxed over the 1099 amounts so that future amounts will not be overwritten!!

If you want to double check the 1099 taxable amount that came from Settlements done through the TMS side you can go to Reports, Settlement Reports, 1099 Summary. ** PLEASE NOTE: This report only tracks information from the TMS Side! If you wrote checks in SBT AP for invoices that did NOT come from Settlements, these will NOT be included on this report!!

If you are still using the older DOS version of Dispatch, you must have the “Set Test=ON set. Go to the Carrier file maintenance screen in Billing and Utilities, find the vendor and press the ALT + A key. A box will pop up and you can edit the 1099 amount.

SBT Accounts Receivable

Can I break out revenue to different accounts?

Yes. Call TMS support and ask about conditional linking.

Can I break out additional charges to seperate revenue GL accounts from haul charge?

Yes. Call TMS support and tell them you would like to do this.

Does forgetting to close a period in AR cause problems with GL?

Not in SBT7. It is not date sensitive. Closing the period in AR just zeroes out that periods totals in AR. It does not affect the General Ledger.

I get confused about when to use a credit memo and when to use a negative cash receipt?

Remember that a negative cash receipt is to back out cash. A credit memo is to back out an invoice. You NEVER want to use a credit memo to try to remove a cash receipt or a negative cash receipt to remove an invoice!!

Can I print checks for the new quarter before closing my previous quarter?

NO! It will add the totals for those checks into the totals for the quarter you are currently in. If you find that you have done this accidently, call TMS Support immediately!

Can I set up GL to run on a Fiscal year instead of a Calendar year?

Yes

Can I print checks for the new quarter before closing my previous quarter?

Why do I have to close the quarter?

We get asked this quite often by customers that have switched to the SBT accounting system from less sophisticated accounting programs that do not adhere to strict accounting rules. One of the main reasons people choose to use a computerized payroll system is so that it will do most of the quarter end and year end calculations: Wage and Tax reporting, 941’s, W2’s, etc.
Closing the end of the quarter at the end of March, June, September and December provides the user with individual quarterly reports that, otherwise,would have to be calculated manually.

Does closing the quarter in payroll affect my General Ledger periods?

No

Can I have open postings when I close the quarter?

Yes

I closed payroll and now I get error message when adding a posting deduction?

This means you didn’t reindex payroll twice after closing. Reindex it now, then go to employee file maintenance and edit the employees deductions from that screen.
Then you should be able to go back and enter his posting and deductions without getting the error message.

Close year BEFORE printing W2’s

We have found that SBT Payroll runs best if REINDEXED TWICE AFTER CLOSING YEAR!

For W2’s you will need to:
Set your printer to 12 pitch and
edit your payroll Setup and change print to 12cpi
and answer “NO” to the question ‘use 12 cpi print’ when printing the W2’s
